1. Send a request for the availability and price for the period of your stay

I will send you an offer asap and let you know about availability and price (please keep on mind that for holidays or special events there could be a surcharge or depending on the number of persons, prices could also be different. So the price I send you is mandatory, not the one on the website). If you have further questions you can contact me via e-mail or phone. I advise you to get back to me quick, after you received the offers, otherwise it can happen, that someone else books the apartment of your choice in the mean time (especially the summer is a very busy time in Berlin and good apartments are sought after).
2. Send a booking confirmation & prepayment
Once you have decided for an available apartment and got a confirmation that it is still free, I will reserve it for you. At booking a prepayment of generally 20% (of the total price minus final cleaning) is due (some apartments require a higher prepayment) via Paypal, credit card (Master Card or Visa) or bank transfer: (especially if you book from outside Germany Paypal is the preferred option). Please keep on mind that all costs incurred through bank transfer need to be payed on top of the amount. Only after the prepayment is done the booking is final. Please note that checks are in no case accepted. For monthly rentals there might be additional prepayments required. This will be announced before booking.

If you want to pay via Paypal please let me know and I will send you a Paypal money request link. Please make payments in euro and the exact amount I ask from you, as over- or underpayments might cause trouble.

As soon as the prepayment has arrived I will provide you with the full address of the apartment and the contact person for your arrival.
Invoices:
If you need an invoice please let me know. Keep on mind that I can only issue an invoice for the amount of the prepayment and the exact dates of your booking. For the rest of the payment please ask for an invoice from the owner. Best inform him about this prior to your arrival.
3. Your arrival
Get in touch with your contact person at least 2 days before your arrival and make an appointment. Please bring the rest of the payment (+ deposit payment if required for the apartment of your choice) with you in cash (euro) and your contact person will welcome you at the apartment (if not agreed otherwise) and hand you out the keys (in case you need more than one set of keys, please ask the owner for this in advance, immediately after receiving your booking confirmation). If not agreed otherwise with the owner, arrival time is between 3pm and 8 pm, checkout at the day of your departure until 11 am.
If you have further questions we can always assist you. To improve our service constantly we would really be happy if you share the experience of your stay with us after your return and send us an e-mail.
Please notice that urban apartments is not the owner of the apartments. A rental contract is made between you and the landlord of the apartment.

4. Cancellation fees (Urban Apartments)
more than 30 days prior to arrival: 50% of the prepayment (10% of the rental price)
30 days prior to arrival to no show: 100% of the prepayment (20% of the rental price)
In case of an earlier departure payments are not refundable.
In addition to that there might be cancellation fees by the owner for cancellations less than 30 days (or more for rental periods of one month or more) in advance.
5. Smoking
In case you want to smoke in an apartment please ask in advance, as most of our apartments are non smoking. Otherwise the owner has the right to charge a fee for extra cleaning.
