How to book an Apartment

1. Choose your apartment and send a Booking Request
Execute a search from the start page for the dates of your stay and no. of persons (and if you like area). Choose an apartment and then click on Booking Request. Please fill in the upcoming form and send it. Please make sure, that you do not send several booking requests if you only need one apartment. In case there are several apartments that you like add the 3 digit numbers from the title or the links in the notes field of your booking request or an e-mail. If you have further questions you can contact us via e-mail ( or phone (+49 152 09444636) or add these in the notes field of the booking request.

In the next step you will be informed, as soon as the owner confirmed or denied availability (in general availability dates on our site are up to date, only in case of exception it might happen, that the owner denies). We will inform you about availability asap and will then reserve the apartment for you.

Alternatively you can also send us an e-mail with your search criteria and we will send you suggestions please make sure to give us the following details: move in date, initial rental period (minimum stay for most apartments is 2 or 3 months), number of persons (if you children: age), location, size/no. of bedrooms, price range and any other requirements that you might have.

2. Secure the booking
If you like to rent the apartment, please provide the following information (if you haven’t done so before):
• Names and passport copies of all persons staying at the apartment
• Contact details: address, mobile number and e-mail address
• Purpose of stay (if for business:: Employer incl. Address)
• Estimated arrival time if already known

In case you have any questions from your side prior to arrival let us know.
Then we will set up the rental contract and send it to you for signature.

At booking the first month rent is due, once this is paid the booking is confirmed. In case your move in date is less than 2 weeks ahead the first month rent plus the deposit are due. Otherwise the deposit can be paid two weeks prior to move in. Payments should be made by bank transfer. In case that is difficult from your country you can use services like Transferwise, Xoom, Payoneer, Revolut or any other comparable, that enable fast, reliable and cost effective transfers from your country.

Please make sure, that the full and exact amount inn euro arrives into the bank account stated in the contract (in case of bank transfer fees, please add them to the amount), as over- or underpayments might cause trouble.

3. Your arrival
Please get in touch with us at least 2 days before your arrival and make an appointment for your move in and we will welcome you at the apartment (if not agreed otherwise) and hand you out the keys (in case you need more than one set of keys, please ask this in advance). Regular check in time is between 3pm and 8 pm, checkout at the day of your move out until 11 am (in case of an earlier arrival or later departure let us know and we will see if that can be arranged). Please confirm check in time the day of your arrival one hour prior to check in by phone, WhatsApp or SMS, so we know that you are on time. There are plenty of taxis at the airport, fares range between 30 and 50 euro depending on which apartment you have rented and which airport you will come in. To improve our service constantly we would be happy if you share the experience of your stay with us after your return and send us an e-mail. Please notice that Urban Apartments is not the owner of the apartments. A rental contract is made between you and the landlord of the apartment.

4. Cancellation fees
In case of a cancellation inform us asap, so we can try to rent the apartment to someone else. In case the period cannot be re-rented cancellation fees might apply.

5. Smoking/Pets
All of our apartments are non smoking, but many have balconies or terraces where you can smoke. If you want to bring a pet please ask in advance. Many apartments, (but not all) do allow pets considered you have pet insurance and pay for weekly cleaning.
